When you enable e-invoicing in Zoho Books (Settings, then e-Invoicing), every new B2B invoice you save is automatically submitted to the IRP. The IRP validates the invoice data, registers it, generates the IRN (a unique 64-character hash), and returns the IRN and a digitally signed QR code. Zoho Books stores both against the invoice record and adds them to the printed invoice PDF. The entire process takes a few seconds and is invisible to the user unless there is a validation error.
The IRP validates e-invoices against strict criteria: GSTIN format, HSN or SAC code format, invoice number uniqueness, and mandatory field completeness. Common rejection reasons include an incorrect GSTIN, a missing or invalid HSN code, a duplicate invoice number, or an invoice date more than a specified number of days in the past (currently three days for larger businesses). Zoho Books displays the IRP error message alongside the invoice so you can correct and resubmit.
An e-invoice can be cancelled within 24 hours of IRN generation by requesting cancellation through the IRP. Zoho Books provides a Cancel e-Invoice button within the 24-hour window. After 24 hours, the IRN cannot be cancelled on the IRP; you must raise a credit note instead. Zoho Books does not allow an e-invoice to be edited after IRN generation: all changes must go through a credit note and a new invoice, maintaining a clean audit trail.
An e-Invoice in Zoho Books is a GST invoice registered with the Government of India’s IRP, which generates a unique IRN and QR code. Zoho Books submits invoices automatically for eligible businesses and embeds the IRN and QR code on the printed invoice.
e-Invoicing is mandatory for B2B, B2G, and export invoices for businesses with aggregate annual turnover above INR 5 crores. Zoho Books generates IRNs automatically for qualifying invoices when e-invoicing is enabled.
