A price list in Zoho Books is a configurable pricing rule that adjusts item rates by a percentage or fixed amount for specific customers or transaction types, enabling tiered pricing, dealer rates, and promotional pricing without modifying the base item master.

Creating a Price List in Zoho Books

Go to Settings, then Preferences, and enable Price Lists first. Then go to Settings, Price Lists, and click New Price List. Name the list (for example, “Wholesale – 15% Off” or “Premium Customer Rate”), set the currency, and define the markup or markdown. You can apply the adjustment to all items (a flat percentage off the standard price) or configure item-specific rates for maximum flexibility. Save and assign the price list to customers who should receive that pricing.

Assigning Price Lists to Customers

Open a customer record in Zoho Books and find the Other Details section. Set the default price list for that customer. Now every invoice raised for that customer automatically uses the price list rates instead of the standard item prices. The customer-specific price shows clearly on the invoice line, and the standard price is shown as a reference. This eliminates the risk of forgetting to apply agreed discounts manually.

Price Lists and GST

Price lists in Zoho Books affect only the taxable value (the base price before tax). The GST rate itself is defined at the item level and does not change with a price list. If a price list reduces an item from INR 1,000 to INR 850, the GST is calculated on INR 850. The correct taxable value appears on the invoice, keeping GST declarations accurate.

Industry: FMCG Distribution — A Mumbai FMCG distributor has three customer price lists: Retail (standard price), Distributor (-12%), and Modern Trade (-18%). When a modern trade account raises a purchase order, Zoho Books automatically applies the -18% price list on the invoice, ensuring every line item is priced correctly without manual calculation.
