How Accounts Payable Works in Zoho Books

Every bill you record in Zoho Books credits the Accounts Payable account and debits the relevant expense or asset account. Every payment made to a vendor debits Accounts Payable and credits your bank. The balance of Accounts Payable at any point represents the total amount owed to all vendors. Zoho Books maintains a sub-ledger for each vendor, so you can see each vendor’s individual outstanding balance by drilling down from the AP account on the Balance Sheet.

Managing Accounts Payable Health

The Aged Payables Report is the primary AP management tool. It groups outstanding bills by age: current (not yet due), 1-30 days overdue, 31-60 days overdue, 61-90 days overdue, and over 90 days overdue. Bills that are over 30 days past due risk damaging vendor relationships and may attract late payment interest if specified in the vendor’s terms. Review the Aged Payables Report weekly to prioritise which vendors to pay first.

Accounts Payable and Cash Flow Planning

The AP balance and its age distribution are inputs to your weekly cash flow forecast. If INR 40 lakhs of bills fall due in the next 10 days and you have INR 25 lakhs in the bank, you need to either collect from customers faster or arrange a short-term credit facility. Zoho Books’s Dashboard shows AP due this week and next week as summary cards, giving the finance team an instant heads-up on upcoming obligations.
