It tells employees, managers, and finance teams at a glance whether a trip is upcoming, currently underway, finished, or cancelled. Each status determines what actions are available, such as adding expenses or generating a final report.<\/p>\n<h2>Common Trip Statuses in Zoho Expense<\/h2>\n<p><strong>Planned<\/strong>: The trip is approved and scheduled but has not started. Per diem and budget calculations are available for reference. <strong>In Progress<\/strong>: Travel has begun and the employee is actively logging expenses. <strong>Completed<\/strong>: Travel dates have passed. The employee should submit their expense report. <strong>Cancelled<\/strong>: The trip was called off. Any pre-incurred costs can still be submitted for reimbursement.<\/p>\n<h2>How Trip Status Drives Notifications<\/h2>\n<p>Zoho Expense uses trip status to trigger automated reminders. When a trip moves to Completed, the system sends the employee a reminder to submit their expense report. Finance teams can filter trips by status to identify employees who have completed travel but not yet submitted their reports.<\/p>\n<div class=\"gt-faq-item\"><strong>Does trip status update automatically?<\/strong><\/p>\n<p>Zoho Expense can update trip status automatically based on the travel dates configured in the trip record. When the start date passes, the trip moves to In Progress, and after the end date, it transitions to Completed. Employees can also update the status manually if plans change.<\/p>\n<\/div>\n<div class=\"gt-faq-item\"><strong>Can I add expenses to a trip after it is marked as Completed?<\/strong><\/p>\n<p>Yes. Zoho Expense allows employees to add late expenses to a completed trip before the expense report is submitted.
