Each transition is a button that appears on the record when conditions are met, and clicking it triggers the transition process – which may include filling mandatory fields, running before-actions, and firing after-actions.

Anatomy of a Transition

Each Transition has: a From State (where the record currently is), a To State (where the record will go), a Transition Name (the button label users see), and optional configuration for Field Mandates, Before Actions, and After Actions.

You can also restrict who can execute a specific transition. For example, only a manager can execute the “Approve Discount” transition, while any sales rep can execute the “Send Proposal” transition.

Parallel and Sequential Transitions

A state can have multiple transitions leading to different next states. For example, from “Proposal Sent” a rep might have three transitions: “Won”, “Lost”, and “Deferred”. The rep chooses the appropriate transition based on the outcome. This branching logic allows a single Blueprint to model complex real-world processes.

Industry Example

Banking: A loan processing team uses Transitions to move loan applications through stages. The “Approve” transition from “Credit Assessment” to “Loan Sanctioned” is restricted to the credit manager role only. Before the transition completes, the credit manager must fill in “Approved Loan Amount” and “Interest Rate” – preventing approvals without complete documentation.

Related Terms

Blueprint
Blueprint State
Blueprint Field Mandate
Blueprint Before Action
Blueprint After Action
Blueprint SLA
Approval Process

Frequently Asked Questions

What is a Blueprint Transition in Zoho CRM?

A Blueprint Transition is the mechanism by which a user moves a CRM record from one Blueprint State to another.
